Supreme Camps Policies, Terms & Conditions
Terms and Conditions
When you book with Supreme Camps, we want you to be completely satisfied with the service we offer from the moment you book to when you collect your child. Below are the booking terms and conditions which let you know what to expect and what we expect from you. We will always try to do the best by your child, make sure they are safe and conduct ourselves with integrity and honesty.
If you have any questions about our Terms and Conditions, please contact us.
Booking
Bookings placed online and will be confirmed by email. Full payment constitutes acceptance of these booking terms and conditions. Please check the booking confirmation email carefully to ensure the dates and details are correct and as expected - please inform us as soon as possible with any discrepancies and at least 14 days before Camp starts.
-
'Weekly rate' only applies to full week bookings – i.e. Monday to Friday.
-
Any days booked that are not part of a full week will be charged at the day rate.
-
Offer can be applied to multiple children and multiple weeks.
-
Full payment must be made at the time of booking.
-
We are accepting childcare vouchers. For details click here.
Payment
A booking is only confirmed once we’ve received full payment. We are accepting childcare vouchers. All bookings must be paid in full.
Cancellations
You can cancel a booking up to 14 days before the first date of your booking - we will refund all monies paid minus 35% of the cost of the dates that you wish to cancel. If cancellation is less than 14 days before the first date of the booking, unfortunately we are unable to refund any monies.
We are unable to issue refunds, credit or day swaps for any missed days unless in the event of an injury or illness. If your child is unable to attend due to illness or injury, you must provide us with a doctors letter in order for us to process a credit note for you for a future camp.
We cannot issue any refunds if you pay with childcare vouchers.
Due to unforeseen circumstances, we may have to cancel some dates but we will try to give as much notice as possible and offer alternative options if available, or refund all monies paid for the dates cancelled.
Changes to your booking
We know plans change, so you can change booking dates for free any time up to 14 days before the date you would like to change - as long as it’s within the same school holiday period (i.e. Summer) and there is availability. Changes made less than 14 days prior to the date you would like to change will incur a £10 administration fee - please note changes can not be made to bookings happening within 24 hours. All changes to bookings can only be made via email. Unfortunately, a phone message / voicemail does not constitute confirmation of your requested date change. If you’ve booked a full week then we can only move the booking as a full week, not split across multiple weeks, unless you are happy to pay the extra cost to split a whole week into days.
Insurance and Liability
All children under our care are covered by Public Liability Insurance up to £10 million.
Late collection:
Supreme Camps strongly encourages having a support network in case parents/carers are unable to collect their children on time. If you are unable to collect on time for any reason parents/carers must inform the particular setting. The following late collection fees will apply:
-
£5 for the first 5 mins
-
£20 for the first 15 mins
-
£20 for every lot of 15 mins thereafter. Charge begins at each 15 min period.
Persistent offenders may be denied a place at our settings. A 50% reduction in late collection fees, for collections less than 15 mins late, will apply in instances when Supreme Camps management has been informed by phone in advance on the day.
Special Requirements
Every child has access to the same opportunities, although some children may have specific medical, physical or behavioural requirements that need to be taken into account prior to participating in activities. The needs of each child vary, so decisions on how best to include children, are made on a case-by-case basis. We request that parents of children with specific needs call us to discuss how we can best accommodate their child, and consider whether any special arrangements need to be made. Please note we cannot provide for children requiring personal care, including toileting.
Illness and First Aid
It is the purchaser’s responsibility to inform us at the time of booking of any pre-existing medical, physical or behavioural conditions, or medication requirements, so that we can make provision for the child’s specific needs. If this information is not provided we reserve the right to exclude the child from some or all activities.
If a child is deemed too ill by the Camp Manager upon arrival, we reserve the right to refuse participation on Camp until the child has been symptom free for at least 24 hours. If a child requires medication, our staff can only administer medication if it is specifically prescribed for that child, by a health professional.
Appropriate First Aid will be administered to children in the event of an accident while under our care. If the accident is more serious, we may need to call the emergency services and will immediately inform parents. We have comprehensive procedures for major accidents that all Camp staff are trained in.
Photography and Video
Children's names will never appear alongside a photograph on any of our marketing material or other publications. Photographs with children in them will never be given to anyone and remain property of Supreme Camps. Parents/carers, visitors and children are not permitted to take photographs/videos at Supreme Camps. There will be an option in the registration form to confirm whether or not you are happy with photography/videos being taken. This will also confirm whether or not you are happy for us to use the photos/videos as part of our marketing material including online. If accepted, children attending may be photographed by our trained staff. Photographs may be used as part of our marketing material including online.
Policies and Procedures
Our main policies you can download from the top of this page. Simply click the button of the policy you want to read. For our full policies and procedures document, please email us.
Child Exclusion
We reserve the right to exclude any child for any reason, including but not limited to inappropriate parent or child behaviour, illness, bullying and repeated late collection. We reserve the right to exclude a child if their English comprehension is such that it may affect the safety of the child or other children. Refunds will not be offered for remaining days when a child is excluded. No refund will be made for days missed and no compensation will be made for any other costs or losses incurred as a result.
Feedback
We want to give your children the most amazing experience possible, and give you peace of mind that you have chosen the best for your child. If you are not entirely satisfied with our service, please let us know as soon as possible so we have the opportunity to resolve it right away. Let the Manager know as soon as possible if you have any complaints or concerns. We will do everything we reasonably can to put wrongs right.
Data Protection
We will treat all your, and your child’s, personal information as confidential. We will keep it secure and we will fully comply with all applicable UK Data Protection Act and consumer legislation. We may use your information to tell you about other products or services that we offer. Once your booking has been provided, you may unsubscribe from our database at any time.
